1.Principle of no lock-in
Customer Data belongs to the Customer. Organisations must be able to obtain their records in a usable form so that they can meet their own retention, audit and continuity obligations independently of the Platform.
2.What can be exported
| Scope | Typical form |
|---|---|
| Structured records maintained in the workspace | Machine-readable structured data files |
| Printable record views and reports | Document files suitable for printing or archiving |
| Uploaded documents and attachments | The original files as uploaded, with their record references |
| Audit and activity history | Structured event data, subject to access restrictions |
3.Self-service and assisted export
Where the interface provides export or print functions, authorised users may use them at any time within their permissions. For a complete workspace export, an Administrator may submit a request; we will provide the export within a reasonable period after verifying authorisation.
4.Post-termination window
Following expiry or termination, a defined export window is provided during which an Administrator may request a full export. Organisations should plan to complete archiving within that window, since data is deleted afterwards in accordance with the Data Retention & Deletion Policy.
5.Limitations
- exports reflect the data as held at the time of export;
- exports are provided in the formats we support and may require processing to load into another system;
- we do not warrant compatibility with any third-party system;
- exports are restricted to the requesting Organisation's own data and are released only to verified administrators;
- large exports may be delivered in parts or through a time-limited secure link.
6.Individual portability requests
Individuals exercising a data portability right should follow the process in the Privacy Policy. Where the data resides in an Organisation workspace, the request is routed to that Organisation as controller.
